Sub-events

Create what participants sign up for.

All Events are broken down into sub-events. Sub-events are what participants sign up for. An event can have more than one sub-event. If, for example, your event has multiple races on a given weekend, we recommend that you make each race for your event into a sub-event.

Sub-events are important when setting up a Series. In order to create a Series, an organizer must specific the sub-events that are a part of the Series pass. These sub-events will then be made available for those registering for a Series.

Description

Sub-events can have their own descriptions separate from the event, and are where you control waitlists, participant limits, minimum and maximum age requirements, and even sub-event specific registration dates. Organizers can update sub-event information after creating their event in "Edit Event" in the "Details" tab of Event Admin.

Time & Date

Your sub-event can have different dates than the event. If you set event and registration dates on a sub-event, they override the event-level dates. You can also order sub-events on your event page.

Participants

Sub-events have its unique field size, minimum and maximum ages, and restrictions on gender. Organizers can also enable a waitlist if the sub-event fills up.

Multi-Participant Sub-Events

Organizers can require multiple participants to sign up together for a given sub-event. This is appropriate for multi-person events like tandem bike rides and relays.

If you enable multi-participant support, participants will be prompted to enter the number of people you expect to sign up together. For a tandem, this would be two. For a four-legged relay, this would be four.

When signing up, the first participant enters the email addresses of their partners. If the event is paid, the first participant pays the full registration fee. After signing up, the first participant's partners are emailed a single-use invitation to join the first participant. These partner registrations are no-cost, though they can still donate and/or buy merchandise if the event has those enabled. Participants who accept no-cost multi-participant invites are shown with a registration source of "Multi Participant Invite."

Price

Importantly, sub-events are where you set the pricing for your event. For paid events, organizers can choose a simple price or tiered pricing, where the price increases closer to the event. Organizers can also choose sliding scale pricing with an optional minimum, e.g. "Pay what you want above $20;" this is popular for kids races, as well as VIP experiences.

One price

The price is set to one number and does not change.

Early-bird price

Set multiple prices leading up to the event. The date when a certain early-bird price ends is the last day that an athlete can register at that price.

Registration Dates

Organizers can set up unique registration open and close times for each indiviudal sub-event. They may also enable Day of Registration for a particular sub-event.
