About Event Day Check-In

Event Day Check-In is the CRM with the Table Settings Context pre-selected to Check In, a custom view of the CRM table with important event participant information. The Event Day Check-In feature allows for a digital check in of participants on event day or at bib pickup, eliminating the need for paper lists.

How to Access Event Day Check-In

Event Admin

Event Day Check-In can be accessed from Event Admin under the Race Day tab.

After filtering the CRM by the event, the CRM can be reformatted into Event Day Check-In by selecting "Check-In" in Table Settings.

How to Check In a Participant

Search Participant

Search a participant by their first name, last name, bib number, confirmation number, email address, etc.

Click Check In Action

Click the Check In button under the Actions column

Review Participant Information

Before checking in a participant, see important participant information including:

  • Bib Number: This will be visible if already assigned through Bib Assignment. Otherwise, this can be assigned in the Check-In drawer.

  • Waivers: These are all of the waivers that the participant has (or has yet to) sign.

  • Custom Questions: These show responses to custom questions.

  • Merchandise: This section shows all of the merchandise purchased by the participant.

Confirm Check-In

Click the Confirm Check-In button to check in the participant.

The value under the Checked In? column will turn from ❌ to ✅


Check-In Tips

Search by Name, Email, or Confirmation Number. Watch out for typos or alternative spellings! If searching by name, try partial searches with last name only.

This will quickly pull up a participant by their Confirmation Number. See the Scan QR to learn more.

Merchandise Post-Registration

To see merchandise purchased by participants after registration, search by name or email address. There will be separate merchandise order line items in the CRM.


Additional Considerations

Undo a Check-In

To undo a check in, click the Check In button under the Actions column in the table to open the Check In drawer. Then click the Undo Check-In button to reverse the check in.

Updating Participant Information

To update a participant's information for corrections like name or gender identity, change the Context in Table Settings from Check-In to Default and select the View/Edit option from the three dots dropdown under the Actions column.

Update information as needed, and click the Save button to confirm the change.

Change a Participant to a Different Sub-Event

To change the sub-event for a participant, change the Context in Table Settings from Check-In to Default and select the Transfer option from the three dots dropdown under the Actions column.

In the drawer on the right-hand side of the screen, select "Transfer [name] to another event/sub-event."

Select the event and sub-event, and click Transfer to confirm the change.

Check In Event Participants for Multi-Participant Sub-Events

For checking in multi-participant sub-events, check in and assign the bib number to one of the participants.

Check In a Participant with a Duplicate Bib Number

The same bib number cannot be assigned to multiple participants (ex. there is an elite field for men, women, and nonbinary athletes, and multiple participants need to be assigned with bib numbers 1-20). See below for a recommended workaround of going by the chip number for duplicate physical bib numbers. For example:

  • Last Year's Men Overall Champion

    • Physical Bib Number = 1

    • Chip Number / Bib Number on Movemint = 1

  • Last Year's Women Overall Champion

    • Physical Bib Number = 1

    • Chip Number / Bib Number on Movemint = 5001

  • Last Year's Non-Binary Overall Champion

    • Physical Bib Number = 1

    • Chip Number / Bib Number on Movemint = 6001
