If you have already been receiving registrations before creating an event on Movemint, you can migrate those particpants over. This article goes over how participants are moved over and some considerations to have when managing their registrations ahead of event day.


How to Transfer Existing Event Participants

Best Practices: Communicating Transferred Registrations to Movemint with Existing Participants

After the participants have been added to your event on Movemint, an Audience will be made so that you can communicate with them through Movemint. Below are some considerations when communicating with them about moving to a new event registration platform.

To provide more information about Movemint to transferred participants, please share this resource doc from Intercom, Movemint's Athlete Help Center.

  • Acknowledge the Transfer: Mention that their registration was previously hosted on another platform, and is now on Movemint.

  • Creating a Movemint Account: Accounts on Movemint are not required, but helpful in managing their registration for the event like updating participant information, buying additional merchandise, etc.

  • Include Merge Tags for Unique Participant Information: You can email those participants by setting the audience in the "To:" section and with unique participant information through our Communications. There are number of personal Merge Tags to include in an email with the transferred participants such as:

    • Event Confirmation Code: This is a unique identifier for a registration that can be added to an athlete's Movemint account on their Athlete Profile.

    • Sub-Event: This is what the participant has signed up for. Adding this confirms what they have a ticket for your event.

    • Merchandise: These are add-ons that the participant included with their registration. Adding this confirms what they have added on for your event.

Considerations when Managing Transferred Participants

There are a couple of things to note when managing transferred participants to Movemint.

  • Refunds: Refunds for transferred participants cannot be issued from Movemint, but from the previous platform as there is no record of a transaction on Movemint.

  • Transfers: New transfers cannot be initiated by the transferred participants to Movemint, but Full Admins of the event can initiate.
